Sales are already in Tabs. Rent, a loan repayment, the generator's fuel and money someone paid you outside a sale are not, and they decide whether the month was good.

Transactions is where you record that money. Each one is money in or money out, for a date, in a currency. Some happen once. Some, like rent, come round again on their own.

Open Transactions in the sidebar. The page reads "Money in and out of the business, one-off or every month." It has two tabs, Transactions and Recurring.

Recording a transaction

Press Record, which opens Record a transaction.

FieldWhat to enter
Money in / Money outWhich way the money went. It opens on Money out
DescriptionRequired. What it is for, up to 500 characters. "Shop rent"
AmountRequired, a whole amount of 1 or more, with a currency beside it. The currency starts as your business's own
DateRequired. Today or an earlier day. A later date is only allowed if it repeats
Store (optional)Which store it belongs to. Shown when you work across stores; the default is Whole business
RepeatsSwitch on to record it again on its own. See Repeating transactions

Press Record transaction. It joins the list and the totals at once.

The Transactions tab

The list has the Date, Description, Store, and Amount of each transaction, with a plus for money in and a minus for money out. A Currency column is there too, hidden until you choose to show it. The columns can't be re-sorted.

  • Search by description.
  • Filter by Date, by Money (in or out), by Store when you have more than one, and by Currency when you use more than one.
  • Export saves a CSV of everything the current filters match, named like `your-business-transactions-2026-11-01.csv`. Filter first to export one month, or only money out.

In, Out and Net

Above the list are three figures for whatever the filters match: Money in, Money out and Net, which is in minus out. Net shows green when it is above zero.

Currencies are never added together. The figures are in your business's own currency, with a line for each other currency you have recorded beneath them.

Repeating transactions

Switch on Repeats for rent, a loan, a subscription, anything that comes round again. Then set:

  • Every: a number from 1 to 1,000, and a unit of Day, Week, Month or Year. "Every 1 month" is monthly; "every 2 weeks" is every other week.
  • Starts: the first date. The Date label changes to Starts.
  • Ends on (optional): the last date it may fall on. Leave it empty to repeat until you stop it.

Tabs records each date as it arrives, checking every hour. Nothing is recorded early.

A start date in the past is recorded at once: every date from then up to today is added immediately. This is capped at 1,000. If the start would add more than that, Tabs says "Pick a later start date: this would record more than 1,000 past transactions at once". A start date in the future records nothing yet. The first one appears on its day.

An end date can't be before the start.

The Recurring tab

The Recurring tab lists each series with its Description, Amount, Repeats, Status, Next date and Store. Status is Running, Paused or Ended.

Each row's menu offers:

  • Pause and Resume. While paused nothing is recorded. On resume Tabs does not catch up the dates missed while it was paused: it carries on from the next date after today. Tabs says "Paused" or "Running again".
  • Edit the series.
  • Stop, which asks Stop repeating? and a Last day. The text reads that it won't be recorded again after that day, and what it has already recorded stays. Press Stop repeating, or Keep repeating.
  • Remove, which asks Remove this recurring transaction?, stops it repeating and can't be undone. Remove it or Keep it.

Changing one in a series

A transaction that came from a series says it repeats. When you edit it, Tabs asks Apply the change to and offers:

ChoiceWhat it does
This transactionChanges this one only. It shows as edited, and the date it stands for is never recorded again by the series. The schedule isn't offered
This and followingChanges this one and every later one. The schedule can change
All transactionsChanges the whole series

If you change the schedule (the unit, the interval or the dates), This transaction isn't offered. Once a series has started, its start date is locked.

Removing works the same way. Remove from a recurring transaction asks which to remove: This transaction removes it and its date is not recorded again. This and following ends the series the day before and removes this one and every later one. All transactions removes the series and everything it recorded. Keep them cancels. A one-off asks Remove this transaction? and takes it out of your totals.

Expenses on Home

On the Overview view of Home, the Revenue card shows Expenses: money out recorded in the period you're looking at. Press it to open Transactions filtered to money out. See My day and Operations.

A worked example

You pay ₦150,000 shop rent on the first of every month, and the lease began in July. On 1 November you press Record, choose Money out, enter "Shop rent", ₦150,000, a Date of 1 July, switch on Repeats, set it to every 1 month, and leave Ends on empty.

Tabs records July, August, September, October and November at once, five transactions, and the next shows under Next as 1 December. Money out for those months now includes the rent.

In January the landlord raises it to ₦170,000. You open the 1 January rent, pick This and following, change the amount, and save. Earlier months stay at ₦150,000.

March's rent was a different amount, so you open it, pick This transaction, and change it. In May you sublet and stop paying: on the series you press Stop, set the last day, and confirm. What was recorded stays.

Who can do what

Transactions have four permissions, set under roles.

StepWhat it needs
See the Transactions page, its totals, and Expenses on HomeSee money in and out, and its totals
Record one, and set up a repeating oneRecord money in or out (and set up recurring ones)
Edit one, pause, resume or stop a seriesChange transactions (and recurring ones, and pause them)
Remove one, or a series' following ones or allRemove transactions

Changing and removing are marked sensitive. The owner has all four. Of the starting roles, only the Accountant carries them; Cashier, Stock keeper and Store manager have none. A role you create starts with none. Expenses on Home also needs the role to see the business overview and revenue.

Things to know

  • A transaction has a description, an amount, a currency, a date and a store. There are no categories, notes or attachments.
  • Removed transactions go to the trash.
  • Repeating transactions are recorded by Tabs, not by a person. In the series they show no member as the one who recorded them.
