A roster says who should be at work. Attendance says who turned up. Time off says who won't, and why you already knew.

Two things sit on this page. Attendance is a daily clock-in: each person says they've started, and Tabs records when and, if you ask for it, where. Time off is a request a person makes and someone with the right to decide answers, so a holiday or a sick day is on record rather than in a message.

Turning on attendance

Go to Business settings and open Attendance. You need the permission Change attendance settings.

SettingWhat it does
Use attendanceSwitches attendance on for the business.
Daily clock-inMembers clock in once a day, before the rest of Tabs. Off: people clock in to their shifts only.
Remote work"Count a clock-in from anywhere, recorded as remote. Off: it must be at a store."
Ask for locationTabs asks the person's phone or browser where they are when they clock in. It stays on while Remote work is off.
RadiusHow close to the store's pin counts as at the store. 150 m by default, or Custom.

Store locations

A clock-in at a store is judged against the store's pin. Pin each store from inside it, on your phone. A store without a pin shows Needs a pin.

Clocking in for the day

With Daily clock-in on, a member sees a Clock in screen before the rest of Tabs, and stays there until they have clocked in. The owner is never blocked.

  1. Under Where are you working?, choose the store.
  2. The browser asks for your location. Allow it.
  3. Press Clock in.

If you're away from the store and Remote work is off, Tabs says "You're 420 m from the store. Clock in at the store." with the real distance in place of 420. It also gives you a button to clock in at the nearest store.

Once you're in, the top bar shows On the clock, with Clock out and your week. When you've clocked out it shows Off the clock.

The Attendance page

Find it in the menu under Work, as Attendance. It's for whoever may See everyone's clock-ins. That is the owner alone, unless you give it to a role.

It has three tabs.

Today is a register: who is in, who is late, who isn't in yet, and who has left or is off. Narrow it with the filters At the store, Remote and Not checked, then Expected today, Not expected, On time off and Added or corrected. There's a search for a name.

History is a week's timesheet, for everyone or for one person.

Summary gives hours worked, how often someone was late, and how often they clocked in away from the store. Download CSV gives you the same for payroll.

Open a person's day to see where they clocked in, how rough the reading was (shown as ±m) and a Map link. A member's own page shows their latest clock-ins and See their week.

Fixing a clock-in

People forget. On a person's day, press Fix times to correct a clock-in, or Add a forgotten clock-in if there is none. You need the permission Correct or add a clock-in. Tabs refuses times that overlap another clock-in for the same person. A clock-in you added or corrected is marked Added or corrected on the register.

A shift's own record is corrected on the roster, by whoever manages it. See setting or correcting the times.

Asking for time off

Find Time off in the menu. Anyone can press Ask for time off. The owner sees Add time off instead, since nobody needs to approve the owner.

FieldWhat to enter
TypeHoliday, Sick, Unpaid leave or Other.
From and ToWhole days. It can start up to 30 days back, and run at most a year.
NoteOptional, up to 500 characters.

For Sick, the note says "Only the people who decide time off see this note."

The page has two tabs: Team, for everyone's requests, and Yours, for your own. Team shows to a role that can see everyone's time-off requests or decide on time off.

Deciding on time off

You need the permission Decide on time off. On a request you can:

  • Approve it.
  • Offer other dates, when the days asked for don't work.
  • Decline it, with a reason if you like.
  • Take the offer back, if you offered dates and have changed your mind.

After you've approved, you can still press Offer a change, or Cancel time off. You can cancel until its last day, and you must give a reason when it's someone else's.

Nobody decides their own request. The person who asked can:

  • Withdraw it, while it waits or while other dates are on offer.
  • Accept these dates or Turn down the dates you offered.
  • Accept the change or Keep my dates, when you offer a change to approved time off.
  • Cancel time off they no longer need, until its first day.

The person is told in the bell, with your reason.

Time off on the roster, Today and Clock in

On the roster, someone on approved time off shows a Time off chip. It never says the type. If you copy a shift into approved time off, the copy becomes a draft, and publishing marks it on the board.

On the Clock in screen, a person on time off sees the type and until when, with "You don't need to clock in unless you're working." On Today, they show the type, or Off. If they clock in anyway, Today says Worked during time off.

Who can do what

PermissionWhat it lets a role do

Correct or add a clock-inFix times and add a forgotten clock-in.
Change attendance settingsChange the settings above, store pins and store time zones.
See everyone's time-off requestsSee the Team tab of Time off. A role that can decide on time off sees it too.

A new role has none of them until you tick them. The owner has all five. Set them under roles.

Privacy

Tabs keeps a person's location only when the shop asks for it. The activity log names time off without its type or note. See the privacy policy.

If something goes wrong

"Tabs needs your location to clock you in. Allow location for Tabs, then try again." The browser or phone has location turned off for Tabs. Allow it in the settings, then press Clock in again.

"You're N m from the store. Clock in at the store." Remote work is off, and you're outside the store's radius. Go to the store, or ask the person who changes attendance settings to turn Remote work on or widen the radius.

A store shows Needs a pin. Nobody has pinned it yet. Someone with Change attendance settings has to stand inside the store and pin it from their phone.

Tabs refuses a corrected time. It overlaps another clock-in for that person. Change the times so they don't overlap.

There's no Attendance in your menu. Your role can't see everyone's clock-ins. Ask the owner.
